As the Office Coordinator, you will work closely with the Transportation Director and management team while serving as a central resource for employees, outside agencies, vendors, and the public. This is an excellent opportunity for someone who enjoys variety, takes initiative, and can confidently manage sensitive information and competing priorities.
  • Coordinate daily office operations for the Highway and Airport divisions.
  • Provide confidential administrative support to the Transportation Director and management staff.
  • Serve as a primary point of contact for employees, outside agencies, vendors, and the public.
  • Coordinate employee training, safety programs, required certifications, and regulatory reporting.
  • Prepare correspondence, reports, meeting agendas and minutes, bid documents, permits, agreements, and other departmental materials.
  • Maintain organized and accurate personnel, operational, fleet, training, and compliance records.
  • Assist with invoices, budget preparation, contracts, grants, municipal agreements, and other financial processes.
  • Coordinate insurance claims, accident documentation, vehicle records, permits, licenses, and regulatory filings.
  • Support departmental communications, websites, newsletters, meetings, and special projects.
  • Supervise and provide direction to the Administrative Assistant.

The successful candidate will be a dependable and collaborative professional who can work independently, exercise good judgment, and maintain confidentiality. Strong communication, organization, problem-solving, and customer-service skills are essential.

Candidates should also have:

  • An associate degree in public administration, business administration, communications, or a related field.
  • At least four years of office or administrative support experience.
  • An equivalent combination of education and experience may be considered.
  • Strong proficiency with Microsoft Word, Excel, PowerPoint, and Google applications.
  • The ability to organize complex workflows and manage multiple deadlines and interruptions.
  • Excellent attention to detail and professional written and verbal communication skills.
  • A valid Wisconsin driver’s license.
  • Work is performed primarily in an office environment with frequent interaction with staff, clients, community partners, and the general public.

  • Requires frequent sitting, talking, hearing, and use of hands to type, file, handle documents, and operate office equipment.

  • Occasional standing, walking, bending, reaching, and lifting or moving objects weighing up to 25 pounds.

  • Vision requirements include close vision, color vision, and the ability to adjust focus when reading documents and viewing computer screens.

  • Must be able to maintain focus, accuracy, and professionalism in a busy environment with frequent interruptions, shifting priorities, and simultaneous demands.

  • Requires sufficient manual dexterity and coordination to operate telephones, computers, copiers, scanners, and other standard office equipment.

Work Schedule

  • Typically, 4 ten-hour days during summer and 5 eight-hour days in winter, with flexible availability for meetings taking place outside of regularly scheduled hours.

Salary : $26 - $30
