The Role
This is not a "sit at the desk and answer the phone" job.
You'll be the first voice and the first face people encounter when they reach out to us — and you'll also be the person helping us market, sell, organize, and automate. It's a rare hybrid: part front-of-house, part marketing and sales support, part systems builder. If you like variety, ownership, and seeing the direct impact of your work, this is your seat.
What You'll Do
Customer Experience & Reception
- Answer incoming calls and route them to the right person
- Greet customers and visitors, and make them glad they walked in
- Respond to customer inquiries by phone, email, and text
- Schedule appointments across multiple business lines
Marketing & Sales Support
- Assist with social media content, email campaigns, and local marketing
- Follow up on leads and keep the pipeline moving
- Support quoting, proposals, and customer follow-through
AI & Systems
- Help implement and maintain AI tools and automations across our businesses
- Keep our CRM clean, current, and actually useful
- Look for the manual task that shouldn't be manual anymore — and fix it
Administrative Support
- Data entry and CRM updates
- Prepare documents, contracts, and packets
- Maintain organized digital and physical records
- General administrative support to keep the office running smoothly
What We're Looking For
- Strong communication skills — warm on the phone, clear in writing
- Highly organized, with real follow-through on details
- Comfortable with technology and genuinely curious about AI tools; you don't need to be an expert, but you should be the kind of person who figures things out
- Able to switch gears between businesses and priorities without dropping balls
- Professional, dependable, and self-directed
- Experience with CRM software, Microsoft Office, and Google Workspace
Nice to have: experience in real estate, automotive, construction, or service-business office settings; social media or marketing experience; bilingual but not required (English/Spanish).
