The HOA & Code Violation Compliance Intern supports the Construction Operations team by assisting with the administration, tracking, and resolution of homeowners association (HOA) requests, approvals, and municipal code violations across residential properties. This position works closely with Construction Superintendents, Property Management, contractors, HOA management companies, and internal stakeholders to ensure compliance-related matters are properly documented, monitored, and resolved within required deadlines. The role provides hands-on exposure to construction operations, property management, compliance processes, and cross-functional coordination. Key responsibilities: · Monitor designated email inboxes for incoming HOA requests, approvals, denials, requests for additional information, code violation notices, and related correspondence. · Review, organize, and record HOA requests, approvals, municipal code violations, deadlines, and required actions in internal trackers and systems. · Track the status of HOA submissions, approvals, corrective actions, and compliance requirements from receipt through resolution and closure. · Follow up with internal stakeholders, contractors, property management teams, and HOA contacts regarding outstanding approvals, documentation, and corrective actions. · Route HOA approvals, denial notices, compliance requirements, and related communications to the appropriate internal teams. · Maintain accurate records of HOA requests, code violations, deadlines, fines, approvals, conditions, inspections, and supporting documentation. · Monitor approaching deadlines, overdue items, repeat violations, escalation risks, and other compliance-related concerns. · Assist with confirming completion of corrective work and collecting supporting documentation required for closure. · Maintain organized electronic files and documentation for assigned properties and compliance matters. · Prepare weekly status reports identifying open items, critical deadlines, overdue actions, and recently resolved violations. · Escalate urgent, denied, incomplete, high-risk, or unclear compliance matters to management for review. · Support process improvement initiatives related to HOA and municipal code violation tracking, documentation, and reporting. Job Requirements Minimum Requirements: · Currently pursuing a degree in Business Administration, Operations Management, Construction Management, Real Estate, Public Administration, or a related field. · Strong organizational skills and attention to detail. · Ability to manage multiple deadlines, follow-up activities, and compliance-related tasks simultaneously. · Strong written and verbal communication skills. · Ability to accurately review notices and identify addresses, deadlines, required actions, and responsible parties. · Ability to maintain accurate records and handle sensitive information appropriately. · Basic to intermediate proficiency with Microsoft Excel, Outlook, Teams, and Word. · Ability to work independently while seeking guidance when appropriate. · Advanced English proficiency, preferably B2 level or higher. · Professional or fluent Spanish proficiency. Preferred Qualifications: · Previous exposure to property management, construction, real estate, compliance, customer service, or administrative support. · Experience using or willingness to learn systems such as Yardi, Salesforce, SharePoint, or similar platforms. · Familiarity with HOA processes, architectural review requests, violation notices, municipal code requirements, inspections, or compliance tracking. · Experience managing documentation, trackers, deadlines, or process-oriented administrative tasks. · Interest in construction operations, real estate, compliance management, or property operations.
Salary : $43,888 - $90,000
