The Administrative Assistant will play a key role in supporting day-to-day office operations, assisting the sales and project management teams, and ensuring excellent communication with our customers, vendors, and field crews. The ideal candidate is detail-oriented, highly organized, and able to thrive in a fast-paced construction business environment.
Key Responsibilities:
- Answer incoming calls and direct them to the appropriate team members
- Respond to emails and assist with general customer and vendor inquiries
- Schedule meetings, job site visits, and maintain calendars for sales and management staff
- Prepare job folders, contracts, and other supporting documents for field and sales teams
- Assist with ordering materials, tracking shipments, and coordinating deliveries
- Maintain filing systems, both physical and digital, including project documentation and permits
- Update internal records such as customer contact lists, bid tracking, and project status
- Support bookkeeping activities including invoicing and expense tracking, as needed
- Coordinate travel arrangements and accommodations for team members
- Perform general office duties such as ordering supplies, managing mail, and keeping the office organized
Qualifications:
- High school diploma required, associate’s degree or higher preferred
- Prior administrative experience, ideally in construction, sales, or related industries
- Strong communication skills (written and verbal)
- Proficiency in Microsoft Office (Word, Excel, Outlook); experience with QuickBooks or CRM software is a plus
- Highly organized and capable of managing multiple tasks and deadlines
- Self-motivated, resourceful, and comfortable working independently or as part of a team
- Professional demeanor and a positive, can-do attitude
- Experience supporting outside sales teams or working in a construction office environment
- Familiarity with construction terminology, permit processes, Locates, or job costing
- Spanish language skills a plus
