Sparks Group is seeking 2 professional and customer-focused Clinic Operations Representatives to provide essential administrative and patient support within a clinical setting. This role serves as a key point of contact for patients, families, providers, and staff, ensuring efficient clinic operations while delivering exceptional service. This position reports to the Clinic Operations Supervisor or Practice Manager and may require floating to other clinics or regional outpatient centers as needed for coverage.
Key ResponsibilitiesPatient Services:- Schedule and reschedule patient appointments accurately
- Complete patient registration by phone or in person
- Collect and verify demographic and insurance information
- Greet patients and families professionally
- Obtain required consents and compliance documentation
- Manage appointment requests, patient portal communications, and related worklists
- Schedule specialty and follow-up appointments as needed
- Verify insurance eligibility and benefits
- Ensure referrals and pre-authorizations are completed
- Communicate payment responsibilities including co-pays, deposits, and balances
- Coordinate with Financial Information Center for payment arrangements
- Ensure all patient data systems are accurate and synchronized
- Collect co-pays, deposits, and full payments
- Maintain accurate cash controls and receipts
- Support departmental collection goals
- Review upcoming schedules to ensure billing readiness
- Flag services requiring authorization
- Reconcile scheduled and walk-in appointments
- Answer phones and assist callers effectively
- Manage voicemail and email communication promptly
- Maintain office files, supplies, and reception area
- Distribute and process mail
- Provide general administrative support as needed
- Promote patient, visitor, and staff safety
- Follow all documentation and verification procedures
- Communicate clearly and accurately
- Practice “Stop, Think, Act, Review” to ensure quality and compliance
- Strong customer service and communication skills
- Broad understanding of clinic operations
- Computer proficiency required
- Microsoft Office (Word and Excel) preferred
- Ability to type at least 35 words per minute
- Successful completion of Ambulatory Services training curriculum, competency assessments, and mock clinic
- Minimum 1 year of experience in one or more of the following:
- Patient registration
- Medical billing
- Appointment scheduling
- Insurance verification
- Insurance screening
- Healthcare setting experience preferred
- High School Diploma or GED required
