JOB DESCRIPTION
We are looking for a Construction Coordinator to join our Reconstruction team. You will be responsible for coordinating and documenting all phases of commercial and residential reconstruction projects from the moment a job is received from the mitigation department, including coordinating with project managers, construction managers, subcontractors, adjusters, and construction consultants, and managing materials and equipment, while ensuring that specifications are followed and work proceeds with quality, on schedule, and within budget.
PRIMARY RESPONSIBILITIES
Internal Communication
- Collaborate with internal claims managers, permit expeditors, and construction project managers to ensure efficient, effective job completion and client communication.
- Provide internal updates to upper management, the Director of Construction, and project managers.
External Communication
- Work closely with occupants, property owners, adjusters, subcontractors, and all interested parties throughout the reconstruction process, including daily updates and calls, to ensure the highest level of customer satisfaction.
- Provide support to the client's team, including project managers, construction managers, and designers.
- Coordinate with architects and engineers for timely and accurate responses to requests for information (RFIs).
Time Management / Organization
- Maintain and distribute current contract plans, timelines, and specifications.
- Use meetings, calendaring, and workflow coordination to meet deadlines.
- Maintain project files and drawings organized within company software or programs (e.g., Work Center, Egnyte, Procore).
- Maintain the Work-in-Progress (WIP) report and communication log.
Documentation
- Document the progress of construction, demolition, rehabilitation, alteration, addition, or repair projects.
- Log photographs, daily project reports, and notes as required.
- Document virtual or onsite meetings and phone calls with clients, adjusters, consultants, or project stakeholders.
- Log and review submittals for conformance to plans and specifications.
- Upon project completion, review and update file documentation and perform project close-out.
Contracting
- Ensure all subcontractors and temporary labor are working under proper agreements (e.g., via Purchase Orders).
- Sign up new subcontractors and maintain current insurance and licensing.
- Issue purchase orders based on project budget and validate completed PO documentation.
- Create repair agreements for client distribution and execution.
- Order materials and supplies as needed and update budgets.
Billing
- Coordinate with the accounting department to progress bill the project per the repair agreement payment terms.
- Manage collections activities.
Permitting
- Assist in obtaining permits specific to the project and ensure correct procedures are followed with local municipalities.
- Coordinate with external architects, engineers, and permit expeditors to obtain building permits.
- Schedule inspections with building departments.
POSITION REQUIREMENTS
- High school diploma/GED required; Associate's or Bachelor's degree preferred.
- A minimum of two years of business, construction, or reconstruction experience.
- Proficient in Microsoft Office, including Excel and Microsoft Project.
- Working knowledge of current business and project software technologies.
- Excellent written and verbal communication and customer service skills, with a proactive, can-do attitude.
- Comfortable working with ambiguity and able to juggle multiple projects and priorities.
- Honest and transparent; escalates issues calmly and helps solve them.
- Team player willing to help wherever needed — no task is too big or too small.
- Prior experience in reconstruction required.
- Must be able to work in person at our office 5 days per week and able to travel to job sites as needed.
- Must be authorized to work lawfully in the United States and able to successfully complete a background check subject to applicable law.
PHYSICAL DEMANDS
- Primarily office-based work in a climate-controlled environment, with travel to job sites as needed.
- Prolonged periods of sitting at a desk and working on a computer.
- Frequent use of hands and fingers for typing, writing, and handling documents.
- Frequent talking and hearing for phone and in-person communication.
- Close visual acuity for reading documents, plans, and computer screens.
- Occasional standing, walking, bending, reaching, and filing.
- Periodic walking of active job sites, which may include uneven surfaces, stairs, and exposure to dust and noise.
- Occasional lifting and carrying of files, plans, or supplies up to 25 pounds.
- Frequent driving to and from job sites.
Job Type:
- Full- Time, up to 40 hours per week.
Salary: $20-$25 / hour, pending experience.
