Role
Objectives of this Role:
- Provide administrative support to the Purchasing - Subcontracts Group, make copies, scan documents, maintain electronic and/or hard-copy filing systems or databases, and perform other clerical tasks as assigned.
- Develop a solid understanding of the Subcontract Policies and Procedures and is able to act using personal judgment within defined levels of responsibility to process tasks to support the Subcontracts group.
- Interact daily with subcontracting specialists and management concerning assigned clerical tasks.
- Assist other clerical staff as needed. Perform other duties as assigned.
- Regularly interact with internal customers and Institute staff as required.
- Must have good interpersonal and communication skills to resolve issues of varying degrees of complexity effectively.
- Initiate requests to subcontractors for contractual documents and provide regular follow up.
- Assemble contractual documents for specialist review as requested.
- Input purchase order information into Costpoint.
- Research, analyze, coordinate, develop and maintain auditable business documentation.
- Perform all other duties as assigned.
- Requires a high school diploma or equivalent. General business courses preferred
- 5 - 10 years: General clerical/administrative support experience is required.
- 5 years: Experience fulfilling administrative responsibilities to include formatting, editing, and proofreading documents, data entry using Excel spreadsheets, and other business software. Supporting basic office functions, including record management and meeting coordination.
- 5 - 10 years: Working knowledge and experience with personal computers and general business practices. Working knowledge of Adobe Acrobat and proficiency in Microsoft Office, including Excel, Word, and Outlook.
- Demonstrate high quality written and oral communication.
- A valid/clear driver's license is required.
