Role
Objectives of this Role:
- Coordinate shipping logistics with the College Recruiting Coordinator to meet shipping deadlines for all career fairs (local and national); responsibilities including packing boxes of materials, handling the booth displays, and engaging leadership when presented with challenges.
- Work with Management to ensure all new hire paperwork is completed prior to SwRI Orientation, interfacing with New Hires during our weekly Orientation, sending out critical communication regarding the Orientation process.
- Collecting, documenting, and tracking employment references.
- Supporting Intern Coordinator by acquiring and tracking all SwRI Intern transcripts, event planning, and other duties.
- Supporting our team-centric nature by offering desk coverage for required stations and applying our core values daily in the way we engage one another and our candidates.
- Reviewing files for new hires to ensure all required forms are completed, signed, and if not, successfully completing the tasks necessary to obtain forms. Data entry into ATS and Costpoint system.
- Speaking with listed references, candidates, and new hires via phone and email in a professional and timely manner. Coordinate with recruiters to ensure references are acquired.
- Packing large boxes for shipments, notifying management when supply is low on required materials, meeting all career fair deadlines, unpacking returned shipments.
- Track college recruiting efforts utilizing Excel and scan collected resumes into ATS system.
- Implementing general clerical software: Excel, Word, Outlook.
- In-Person interactions weekly for Orientation, and all other clerical duties as assigned.
- Requires a high school diploma or equivalent.
- 4 years: Clerical Office experience that included interfacing with clients, customers, or the general public.
- 1 year: Handling shipments or mailing multiple packets to meet deadlines in a time sensitive environment.
- Must have demonstrated experience working in teams, collaborating with others, and offering support to employees via email and phone.
- Must be proficient in Word, must have basic knowledge of Excel (sorting data, creating tables, manipulating data).
- A valid/clear driver's license is required.
