Job Summary
We are seeking a dynamic and highly organized Office Administrator to join our team and ensure the smooth operation of our office environment. This vital role involves managing daily administrative tasks, coordinating schedules, overseeing vendor relationships, and supporting team members. Responsibilities

  • Manage office operations, including front desk duties, multi-line phone systems, and greeting visitors with professional phone etiquette.
  • Oversee calendar management and schedule appointments, meetings, and events to optimize team productivity.
  • Coordinate event planning activities, including logistics, vendor management, and onsite arrangements for company functions or community outreach programs.
  • Supervise administrative staff and provide training & development opportunities to foster a collaborative team environment.
  • Assist with human resources functions such as onboarding new employees and maintaining personnel files.
  • Maintain organized filing systems—both digital and physical—to facilitate quick retrieval of documents and records.
  • Support medical office management tasks if applicable, including appointment scheduling and patient record organization.
  • Perform clerical duties such as data entry, photocopying, mailing correspondence, and preparing reports.
  • Ensure office supplies are stocked and equipment is maintained; coordinate repairs or replacements as needed.
  • Promote a positive work environment through effective communication skills and professional demeanor.

Qualifications

  • Proven experience in office administration or related roles within an office environment; medical office management experience is a plus.
  • Strong organizational skills with the ability to multitask efficiently in a fast-paced setting.
  • Excellent communication skills—both verbal and written—to interact effectively with team members, vendors, and clients.
  • Experience supervising or managing teams; capable of providing training & development support.
  • Familiarity with front desk operations, multi-line phone systems, filing systems, and general clerical tasks.
  • Ability to handle sensitive information discreetly while demonstrating strong attention to detail.
