- Manage office operations, including front desk duties, multi-line phone systems, and greeting visitors with professional phone etiquette.
- Oversee calendar management and schedule appointments, meetings, and events to optimize team productivity.
- Coordinate event planning activities, including logistics, vendor management, and onsite arrangements for company functions or community outreach programs.
- Supervise administrative staff and provide training & development opportunities to foster a collaborative team environment.
- Assist with human resources functions such as onboarding new employees and maintaining personnel files.
- Maintain organized filing systems—both digital and physical—to facilitate quick retrieval of documents and records.
- Support medical office management tasks if applicable, including appointment scheduling and patient record organization.
- Perform clerical duties such as data entry, photocopying, mailing correspondence, and preparing reports.
- Ensure office supplies are stocked and equipment is maintained; coordinate repairs or replacements as needed.
- Promote a positive work environment through effective communication skills and professional demeanor.
Qualifications
- Proven experience in office administration or related roles within an office environment; medical office management experience is a plus.
- Strong organizational skills with the ability to multitask efficiently in a fast-paced setting.
- Excellent communication skills—both verbal and written—to interact effectively with team members, vendors, and clients.
- Experience supervising or managing teams; capable of providing training & development support.
- Familiarity with front desk operations, multi-line phone systems, filing systems, and general clerical tasks.
- Ability to handle sensitive information discreetly while demonstrating strong attention to detail.
