Executive Assistant – Human Resources Leadership
Location: Urbana, IL
Our client is looking for a highly skilled and dependable Executive Assistant to provide direct support to the senior leaders of our Human Resources division, including the head of HR and several members of the executive leadership team. This position plays a critical role in keeping our HR organization running smoothly and requires excellent judgment, strong communication skills, and the ability to stay ahead of fast-moving priorities.
The ideal candidate thrives in a dynamic environment, handles sensitive information with discretion, and is comfortable coordinating complex schedules and high-level interactions across the organization.
What You'll Bring
- High school diploma or equivalent; an associate or bachelor's degree is a plus
- At least five years of experience supporting senior-level executives, especially in roles requiring confidentiality
- Professional administrative certifications are beneficial
- Excellent interpersonal, written, and verbal communication skills
- Demonstrated ability to manage multiple tasks while maintaining accuracy and professionalism
- Strong command of Microsoft Office and virtual meeting platforms
Your Responsibilities
- Oversee daily administrative needs for the HR leadership team, including managing calendars, preparing executive-level correspondence, and prioritizing communication requests
- Strategically anticipate scheduling needs and resolve conflicts before they arise
- Manage incoming calls, guests, and inquiries, ensuring appropriate follow-up and routing
- Create presentation materials, meeting documentation, reports, and summaries
- Handle confidential information with care and professionalism
- Exercise sound judgment when determining which matters require direct executive attention
- Coordinate travel arrangements and assist with planning major HR meetings and events
