The Payroll Specialist is responsible for managing the full payroll function for the Agency, ensuring timely and accurate processing of weekly/biweekly payroll cycles. This role maintains payroll records, oversees timekeeping systems, prepares payroll batches, and ensures compliance with internal policies and external regulations. The Payroll Specialist supports both employees and leadership by providing accurate payroll data, resolving payroll issues, and consistently improving payroll processes.

- High school diploma required; equivalent experience will be considered.
- Minimum of three (3) years of payroll experience, including at least one year using an automated payroll and timekeeping system.
- Proficiency in Microsoft Office applications, particularly Excel (formulas and data analysis).
- Strong organizational, communication, and multitasking skills with the ability to manage priorities in a fast-paced environment.
- High level of accuracy, confidentiality, and attention to detail.
- Oversee end-to-end payroll processing in Paycom, including timekeeping administration and payroll file preparation.
- Research and resolve employee compensation issues related to paychecks, timesheets, and PTO balances.
- Accurately record third-party sick pay and maintain supporting documentation.
- Process daily payroll status changes, ensuring employee records remain up-to-date.
- Prepare, analyze, and distribute payroll reports such as vacation and sick accrual summaries.
- Train Directors and Managers on Paycom timekeeping procedures and compliance requirements.
- Validate time detail data and generate payroll files for submission.
- Reconcile payroll registers against approved timesheets, correcting variances prior to finalization.
- Coordinate distribution of paychecks to WellLife Network offices and ensure timely delivery.
- Provide onboarding and training for new payroll staff on Paycom modules and payroll procedures.
- Secure and lock all timesheets prior to payroll processing.
- Review, process, and remit garnishments, wage attachments, and child support payments to proper jurisdictions.
- Administer bonuses, incentives, and Paid Family Leave payments in compliance with internal guidelines.
- Process monthly mileage reimbursements using designated expense management systems.
- Perform related duties and contribute to process improvements as assigned.
