The Recruiting Operations Specialist supports the full recruitment cycle for clinical and non-clinical roles in assigned markets. This role works closely with hiring managers and the Talent Team to post jobs, source candidates, coordinate interviews, and ensure a smooth and positive hiring and onboarding experience. Additionally, this position will be responsible for auditing the recruiting department, pulling reporting and working closely with data.

The Recruiting Operations Specialist supports the full recruitment cycle for clinical and non-clinical roles in assigned markets. Additionally, this position will be responsible for auditing the recruiting department, pulling reporting and working closely with data.
Responsibilites
Full-Cycle Recruiting & Candidate Experience
- Support full-cycle recruiting activities: posting jobs, reviewing applications, screening candidates, scheduling interviews, and conducting initial phone screens.
- Maintain timely, professional communication with candidates to ensure an excellent experience.
- Partner with hiring managers and Talent Partners to understand staffing needs and coordinate recruiting efforts.
- Pull, track, and maintain recruiting and onboarding metrics; prepare weekly reports.
- Audit ATS (Greenhouse) data and team workflows to ensure accuracy, completeness, and compliance.
- Work confidently in Excel to organize, analyze, and validate data.
- Prepare offer letters and coordinate new-hire processes.
- Monitor all pre-boarding activities (background checks, licensure progress, credentialing documents, forms, profile completion).
- Follow up with candidates to ensure timely completion of onboarding requirements.
- Maintain organized documentation and file information in SharePoint.
- Attend weekly meetings with internal stakeholders and the Talent Attraction team.
- Serve as a positive representative of Sol Mental Health in all internal and external interactions.
- Perform additional administrative or recruiting-related duties as assigned.
Experience & Education
- Bachelor’s degree or equivalent experience.
- 1–2 years of experience in recruiting, HR, operations, or an administrative function; healthcare experience preferred.
- Working knowledge of recruiting processes, interviewing basics, onboarding, and job posting.
- Proficiency with ATS platforms (Greenhouse preferred), databases, and MS Office.
- Strong Excel skills (sorting, filtering, basic formulas, data organization).
- Ability to pull reports and audit data with high accuracy.
- Strong written and verbal communication skills with a service-oriented mindset.
- Exceptional attention to detail with the ability to track multiple data points and catch inconsistencies.
- Highly organized with the ability to manage competing priorities in a fast-paced environment.
- Adaptable, curious, and eager to learn new systems and processes.
- Professional, proactive, and collaborative in all interactions.
