Job Summary
The Medical Compliance Assistant ensures strict adherence to Agile Dream Team’s occupational health, drug, and alcohol testing protocols. This role performs regulated medical procedures, specimen collection, and compliance documentation in accordance with DOT/FTA, WMATA, and HIPAA standards. The position supports both clinical and administrative functions, ensuring data integrity, confidentiality, and technical precision in all aspects of testing and reporting. The Medical Compliance Assistant also provides subject matter expertise during audits, arbitrations, and compliance reviews.
Responsibilities
- Maintain confidentiality of all medical files, records, and employee data in compliance with HIPAA and organizational policies.
- Coordinate the scheduling and logistics for WMATA-required medical examinations and testing.
- Perform and oversee regulatory drug and alcohol testing, including urine collection and evidential breath testing, in accordance with DOT/FTA and WMATA regulations.
- Conduct machine calibration and quality assurance checks to ensure reliability and accuracy of testing equipment.
- Ensure exam rooms and collection areas are fully stocked, sanitized, and compliant with OSHA safety regulations.
- Administer and operate Evidential Breath Testing Devices (EBT), perform venipuncture and specimen labeling, and ensure full chain-of-custody control.
- Maintain testing documentation, enter data into automated systems, and generate reports or summaries for internal and regulatory use.
- Provide educational materials and support programs on drug abuse prevention and compliance awareness.
- Testify as a subject matter expert in arbitrations or legal proceedings concerning testing results and procedures.
- Conduct off-site collection services across all facilities and shifts (including weekends and holidays) while maintaining professionalism and confidentiality.
- Collaborate with medical, compliance, and legal teams to uphold testing accuracy and regulatory readiness.
Requirements
- Associate of Applied Science Degree from a CAAHEP-accredited program, or
- Completion of two years of college-level coursework in Allied Health Sciences, or
- Equivalent combination of post-secondary Allied Health education and at least five (5) years of experience as a medical technician in a hospital or clinical setting.
- Experience: Minimum of three (3) years of experience in medical testing, compliance, or occupational health environments.
- Active Level D Breath Alcohol Testing (BAT) certification required.
- Additional certifications in specimen collection, OSHA, or HIPAA compliance are preferred.
- Knowledge of DOT 49 CFR Part 40 and related federal testing regulations.
- Proficiency with medical testing devices, calibration processes, and EMR systems.
- Familiarity with OSHA, HIPAA, and confidentiality protocols.
- Residency: Must reside in or be willing to relocate to Washington D.C. (on-site position).
- Soft Skills: Exceptional integrity, attention to detail, and ability to maintain professionalism under strict regulatory scrutiny; strong communication and documentation skills.
