- Manage multi-line phone systems, answer inquiries promptly, and direct calls efficiently using professional phone etiquette.
- Maintain and update transportation schedules, calendars, and routing information with precision and timeliness.
- Assist with office management tasks such as filing, data entry, and document proofreading to ensure accuracy and organization.
- Support bookkeeping activities using QuickBooks or similar software, including invoicing, expense tracking, and financial record keeping.
- Provide front desk support by greeting visitors, handling correspondence, and managing office supplies to create a welcoming environment.
- Coordinate with drivers and other team members to facilitate timely pickups and deliveries while maintaining clear communication channels.
- Utilize computer skills across Microsoft Office Suite and Google Workspace to prepare reports, spreadsheets, and presentations as needed.
Experience
- Prior office management or administrative experience in a transportation or logistics setting is preferred.
- Demonstrated proficiency with clerical tasks such as filing, data entry, proofreading, and calendar management.
- Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.
- Excellent communication skills, including bilingual abilities that enhance customer support and team collaboration.
- Familiarity with multi-line phone systems, office equipment, and computer literacy is essential.
- Experience using QuickBooks for bookkeeping or accounting functions is highly advantageous.
