Duties
- Greet visitors and manage the front desk with friendly, professional customer service and phone etiquette
- Operate multi-line phone systems to answer inquiries, direct calls, and provide information promptly
- Maintain organized filing systems, data entry records, and manage document proofreading for accuracy
- Schedule appointments, manage calendars, and coordinate meetings using Microsoft Office and Google Workspace tools
- Perform clerical tasks such as photocopying, faxing, mailing, and maintaining office supplies inventory
- Support bookkeeping activities including basic data entry in QuickBooks and tracking expenses
- Assist with office management duties such as organizing files, managing correspondence, and supporting team members with personal assistant tasks
Skills
- Strong computer literacy with proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace applications
- Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently
- Bilingual abilities are highly desirable to serve diverse clients and team members effectively
- Previous office experience or clerical experience demonstrating familiarity with administrative procedures
- Knowledge of office management practices including filing systems, calendar management, and record keeping
- Exceptional customer service skills combined with professional phone etiquette and communication abilities
- Experience with data entry, proofreading documents, bookkeeping (QuickBooks), and medical or dental receptionist duties is a plus
- Ability to handle multiple responsibilities simultaneously while maintaining attention to detail
