Job Summary
We are seeking a Receptionist/Administrative Assistant to join our Mesa office who is organized, detail oriented, flexible, motivated and has a polished, professional demeanor and presentation. The ideal candidate will be an experienced administrative assistant that possesses knowledge of tax return assembly and is deadline driven. You'll utilize your experience and background to provide excellent client service to help our clients reach their goals.
General Accountabilities
- Answer incoming phone calls and schedule client meetings
· Prepare engagement letters and tax organizers in accordance with firm's policies and procedures
- Prepare correspondence to clients and various taxing authorities
- Communicate with clients regarding tax return status and related matters
- Ensure the confidentiality of each client and their personal information
- Greeting and assisting clients in the office
- Prepare and maintain conference rooms
- Handle incoming and outgoing mail
- Maintain office supply inventory
- Carry out administrative duties such as filing, typing, copying, binding, scanning etc.
- Champion process improvement efforts
- Provide administrative support to the professional staff in a manner that optimizes efficiency, resources, and client satisfaction
- Perform other duties as assigned by the Management Team
- Process and assemble tax returns, extensions and estimates
Job Qualifications
- Bachelor’s degree required
- Two years of experience in administrative support work, office practices and administrative procedures
- Superior organizational and follow-through skills with strong attention to details and deadlines
- Knowledge of tax processing and flow, tax forms and related deadlines a plus
Skills
- Ability to multi-task, think independently and problem solve
- Ability to work in a high-volume, fast-paced environment
- Ability to work independently with limited supervision as well as work cooperatively with all levels of management and employees
- Prioritize, plan and organize multiple projects simultaneously
- Ability to operate with a sense of urgency
- Robust computer and technical skills with the ability to learn new software quickly
- Service orientation
- Knowledge of QuickBooks a plus
- Strong written and verbal communication skills
