Job Overview
The Receptionist/Administrative Assistant will serve as the first point of contact for clients and visitors and will provide crucial administrative and clerical support to the team. This position plays a key role in maintaining a professional, welcoming environment while supporting the operations of the firm. The ideal candidate will have strong office management skills, proficiency with computer applications, and the ability to handle multiple tasks efficiently.
Key Responsibilities
· Answer and direct incoming phone calls in a courteous and professional manner
· Greet clients and visitors and assist with any immediate needs
· Check, scan, and distribute incoming mail daily
· Prepare and send outgoing mail and packages
· Monitor shared email for incoming court messages and distribute accordingly
· Assist legal secretaries with clerical tasks
· Close out client files and maintain proper records
· Order and maintain inventory of office and break room supplies
· Keep office and break room areas organized and fully stocked
· Set up and clean up conference rooms before and after meetings
· Empty dishwasher and ensure kitchen cleanliness
· Assist Office Manager with projects and general administrative tasks
· Perform other clerical/administrative tasks as assigned
Qualifications
· High school diploma or equivalent required
· Previous experience in a professional office setting preferred; law office experience a plus
· Excellent communication and organizational skills
· Proficient in Microsoft Office (Word, Outlook, Excel) and general office equipment
· Ability to multitask, prioritize, and maintain a positive attitude
· Strong attention to detail and a commitment to confidentiality
· Ability to lift 20 lbs and sit/stand for prolonged periods
