Position Overview
The Fleet Administrator plays a key role in supporting the safe, efficient management of the Sisters’ vehicle fleet. Working closely with the Fleet Manager and the Senior Executive of Insurance and Fleet, this role helps coordinate vehicle operations, maintain accurate fleet records, and provide direct support to Sisters and staff regarding their automotive needs.

Key Responsibilities
Fleet Operations and Support
- Serve as a primary point of contact for Sisters and staff regarding vehicle-related questions and needs
- Provide guidance and support following vehicle accidents or major mechanical repairs
- Build strong, supportive relationships with drivers and internal stakeholders
- Maintain accurate fleet and insurance databases
- Ensure all vehicles remain compliant with registration, insurance, and regulatory requirements
- Support fleet lifecycle activities including vehicle purchasing, titling, registration, maintenance, and disposal
- Maintain productive relationships with the fleet management company, insurance providers, repair facilities, and other external partners
- Coordinate service, maintenance, and repair activities as needed
- Monitor fleet performance to support safety, reliability, and appropriate utilization
- Analyze available data to help inform vehicle replacement and retirement recommendations
- Support administrative and operational tasks related to vehicle asset management
- Perform other related duties as assigned
Required
- Minimum of 2 years of professional experience involving database management, financial analysis, or invoice processing
- Strong organizational and problem-solving skills with careful attention to detail
- Demonstrated ability to interpret data and support financial or operational analysis
- Proficiency with Microsoft Excel and experience with financial systems (Blackbaud Financial Edge preferred)
- Ability to communicate clearly and effectively with individuals across varying levels of technical understanding
- Strong interpersonal skills with the ability to build trust and collaborative relationships
- Ability to manage competing priorities and maintain confidentiality
- Self-motivated with sound judgment and decision-making ability
- Strong written and verbal communication skills
- Associate degree in Business or a related field
- Experience with fleet management or claims management
- Ability to remain calm and professional in stressful situations
- Ability to work both independently and as part of a team
- Interest in learning about and supporting the mission, traditions, and culture of the Sisters of Mercy and the Catholic Church
