Job Overview
We are seeking a dynamic and detail-oriented Bookkeeper / Administrative Assistant to join our team! This vital role combines accurate financial record-keeping with efficient administrative support to ensure smooth daily operations. The ideal candidate will be energetic, highly organized, and possess excellent communication skills, ready to handle a variety of clerical and bookkeeping tasks with enthusiasm. If you thrive in a fast-paced environment and enjoy supporting a busy office, this opportunity is perfect for you! All positions are paid, including internships.

Responsibilities

  • Manage accounts receivable and payable using QuickBooks, ensuring all transactions are accurately recorded and reconciled regularly
  • Handle front desk duties, greeting visitors and clients warmly while maintaining a professional office environment
  • Operate multi-line phone systems with excellent phone etiquette, directing calls efficiently and professionally
  • Support office management tasks such as filing, data entry, proofreading, and maintaining organized records
  • Assist with calendar management and scheduling appointments for team members or clients
  • Provide exceptional customer service by responding promptly to inquiries via phone or email, offering support and information as needed
  • Perform general clerical duties including typing, photocopying, document preparation, and supporting customer support efforts

Requirements

  • Proven experience in office management, clerical work, or administrative roles with strong organizational skills
  • Proficiency in QuickBooks for bookkeeping tasks and Microsoft Office Suite (Word, Excel, Outlook)
  • Excellent computer literacy and familiarity with Google Workspace tools (Gmail, Drive, Calendar)
  • Strong data entry skills with high accuracy and attention to detail; ability to proofread documents effectively
  • Bilingual abilities are a plus to serve diverse client needs effectively
  • Experience in customer service or as a receptionist (medical or dental reception experience is advantageous)
  • Knowledge of multi-line phone systems and phone etiquette essential for professional communication
  • Ability to manage time efficiently, prioritize tasks effectively, and handle multiple responsibilities simultaneously
  • Personal assistant experience or office experience preferred but not required
