We are currently in search of a Admin/Accounting Associate.
Reports directly to: Assistant Controller
JOB DESCRIPTION:
The primary function of this position is to resolve accounting errors, prepare financial & statistical reports as requested by dealer principal and investigate accounting errors and make necessary corrections. Submit and collect receivables, resolve accounting, warranty, and receivable issues, investigate and trace errors, make corrections/ adjustments, send statement reports monthly, receipt payments in a timely manner and prepare necessary spreadsheets.
Minimum Qualifications:
Communicate effectively, computer literate with an emphasis in office software programs, knowledge of accounting theory, customer service experience, prior bookkeeping experience preferred, detail oriented, high school diploma or equivalent and preferably an accounting degree or accredited courses.
Essential Functions:
1. Prepare letters, reports and other correspondence as needed.
2. Resolve accounting issues as they arise in the daily processing of dealership transactions.
3. Prepare daily bank deposits by compiling and reconciling cash drawers from previous days work and deliver to bank daily.
4. Remit statements & reports accurately & timely. Correct & follow-up on any unresolved issues.
5. Reconcile bank accounts and all subsidiary ledgers to general ledger control balances monthly. In some cases, maintain spreadsheets or other auxiliary sub-ledgers to supplement standard accounting software capabilities.
6. Reconcile & replenish petty cash/replenishment cash drawer on a regular basis.
7. Maintain vendor/customer receivable records and track outstanding debt obligations timely to optimize cash flow.
8. Examine & submit all warranty (ESP, SPP, PPM, HD) for payment requests and apply to appropriate general ledger account classifications.
9. Clear open AR credits and report on employee open AR accounts monthly.
10. Send remits on all F&I/ sales deal products in a timely manner.
11. Process all F&I/ sales deal product cancellations including processing checks to lienholder/customer as applicable.
12. Process HD and Vendor credit memos in a timely manner.
13. Ensure prompt receipt of warranty money due & properly apply credit memos.
14. Answer the telephone in 3 rings or less.
15. Communicate effectively with other dealership employees, vendors & customers.
16. Prepare & review monthly trial balances, general ledger detail postings, financial statements and other financial reports & statistics.
17. Balance & clear department A/R accounts. (write-offs)
18. Maintain a neat, clean & uncluttered work area.
19. Other duties as assigned. Perform work on special assignments from time to time.

21. Investigate and trace errors and record adjustments to correct inadvertent postings to incorrect general ledger accounts.

23. Maintain a neat & professional appearance that is appropriate to the department.

Working Environment/Conditions:
The noise level is occasionally loud. May be exposed to exhaust fumes, other airborne particles, battery acid, gasoline or other toxic materials commonly found in a motor vehicle service department. Bend, stoop, reach, crouch and sit doing computer work for extended periods.
