Job Overview
We are seeking a proactive and detail-oriented Administrative Assistant to support our construction consulting team. This role is essential to ensuring efficient project operations and excellent communication across internal teams, clients, contractors, and owners. Ideal candidates will have 1–2 years of administrative experience, with construction industry exposure considered a strong plus.
Duties
- Meeting Support & Coordination
- Create, organize, and distribute meeting agendas.
Project Administration
- Maintain project files and track documentation across teams.
- Organize and distribute project deliverables and communications.
- Support project scheduling, document control, and administrative logistics.
Communication & Support
- Serve as a liaison between project teams, clients, contractors, and stakeholders.
- Answer and direct phone calls, emails, and other inquiries.
- Assist in preparing presentations, reports, and correspondence.
- Support contract and procurement administrative tasks as needed.
Office Operations
- Assist with general office coordination, record management, and administrative duties.
- Help keep shared schedules, calendars, and task lists up to date.
- Attend project meetings and take comprehensive meeting notes/minutes.
- Distribute meeting summaries and action items promptly to attendees.
- Types of meetings include:
- Owners’ meetings
- Owner-Furnish Contractor-Installed (OFCI) meetings
- Commissioning meetings
- Schedule coordination meetings
- RFQ/RFP review meetings
- Preconstruction planning
- Drawing reviews
- Project development discussions
Required Qualifications
- 1–2 years of experience in administrative work; construction industry experience preferred.
- Strong organizational skills with attention to detail.
- Excellent written and verbal communication.
- Proficiency with Microsoft Office (Word, Excel, Outlook).
- Ability to manage time effectively and meet deadlines.
- Comfortable participating in project meetings and capturing accurate notes.
Preferred Qualifications
- Experience supporting construction, engineering, or consulting teams.
- Familiarity with project management tools or drawing/document control systems.
Pay: $28.00 - $35.00 per hour
Expected hours: 40.0 per week
