Role Overview
We are looking for a highly proactive, detail-oriented, and resourceful Executive Assistant to support our executive team. This is not a traditional EA role—you will operate as a force multiplier for leadership, helping drive execution across operations, sales, partnerships, and internal initiatives.
You’ll be at the center of the company, ensuring leaders are focused on the highest-impact work while you remove friction everywhere else.
What You’ll Do
Executive & Administrative Support
- Manage complex calendars, scheduling, and prioritization across internal and external stakeholders
- Coordinate meetings with hospitals, partners, investors, and internal teams
- Prepare agendas, capture notes, and track follow-ups to ensure execution
- Handle email triage, draft responses, and manage communication flow
Operations & Office Management
- Oversee day-to-day office operations (supplies, vendors, workspace organization, logistics)
- Support onboarding of new employees (equipment, workspace setup, coordination)
- Coordinate travel (flights, hotels, itineraries) for leadership and team
- Help organize internal events, offsites, and team meetings
Sales & Growth Enablement
- Assist with CRM updates (e.g., HubSpot), pipeline tracking, and follow-ups
- Coordinate demos, pilot deployments, and customer communications
- Prepare and format proposals, quotes, and customer-facing materials
- Help track key metrics (deployments, revenue, pipeline progress)
Special Projects & Strategic Support
- Take ownership of cross-functional projects (e.g., trade shows)
- Conduct light research on partners, customers, and market opportunities
- Help coordinate partnerships and outreach efforts
- Jump in wherever needed—no task too small or too big
What We’re Looking For
Must-Have
- 3 years of experience as an Executive Assistant or in a high-performance operations role
- Exceptional organizational and time management skills
- Strong written and verbal communication
- High ownership mentality—anticipates needs before being asked
- Ability to multitask and operate in a fast-paced startup environment
- Comfortable working with ambiguity and shifting priorities
Nice-to-Have
- Experience at a startup or high-growth company
- Familiarity with tools like Google Workspace, Slack, Notion, HubSpot
- Exposure to healthcare, medtech, or AI companies
