Job Overview – Office & Accounting Coordinator – 34180

A growing organization is seeking a highly organized and detail-oriented Office & Accounting Coordinator to support day-to-day administrative, accounting, and office operations. This role is a key point of contact for visitors, internal staff, and vendors, while also assisting with accounts payable, invoicing, and basic IT coordination.

This is a highly visible, multi-functional position requiring strong organizational skills, professionalism, and the ability to manage multiple priorities in a fast-paced environment.

Key Responsibilities

Administrative & Front Office Support


  • Greet and assist visitors, ensuring a professional and welcoming environment
  • Answer and direct incoming phone calls
  • Manage incoming and outgoing mail
  • Coordinate meetings, events, and travel arrangements for staff and guests
  • Order, stock, and maintain office supplies and equipment
  • Liaise with vendors for office services (cleaning, maintenance, equipment, etc.)


Accounting Support


  • Process customer invoices and ensure timely submission
  • Manage vendor invoices, including coding, entry, and routing for approval
  • Assist with accounts payable processes and payment coordination
  • Investigate and resolve invoice discrepancies
  • Maintain organized financial records and supporting documentation


Office Operations & Coordination


  • Maintain internal tracking documents, files, and spreadsheets
  • Support general office operations and cross-functional team needs
  • Assist with special projects as assigned


IT & Systems Coordination


  • Act as a liaison between internal users and external IT support providers
  • Coordinate basic IT needs, including equipment setup, troubleshooting, and repairs
  • Assist with maintaining office technology and communication tools
  • Support mobile device and office technology administration


Requirements


  • 2 years of experience in administrative, accounting, or office support roles
  • Experience with accounts payable or invoicing processes preferred
  • Familiarity with ERP systems and Microsoft Office (Excel, Word, Outlook)
  • Strong organizational and multitasking abilities
  • Excellent communication and customer service skills
  • High attention to detail and accuracy
  • Ability to handle confidential information with discretion
  • Proactive, adaptable, and team-oriented mindset
