Salary: $24 per hour

Schedule: Full-time, Monday – Friday, 8:00 AM – 4:00 PM

About the Role
ShareSTAFF is partnering with an HVAC and construction materials supplier in Tracy, California to hire a detail-oriented Administrative Assistant with hands-on QuickBooks experience. This contract-to-hire role supports daily office operations through accounts payable and receivable processing, accurate financial recordkeeping, and general administrative coverage. The right candidate is organized, proactive, and comfortable balancing bookkeeping accuracy with a steady flow of front-office responsibilities in a small-team office environment.
What You'll Do
  • Process accounts payable and accounts receivable in QuickBooks (Online or Desktop)
  • Enter invoices, track payments, and reconcile discrepancies on a regular cadence
  • Perform bank and credit card reconciliations and assist with financial reporting
  • Support payroll processing and timesheet tracking
  • Answer incoming calls, respond to emails, and provide customer service to vendors and clients
  • Maintain organized electronic and paper filing systems
  • Support new-hire onboarding paperwork and general HR administrative tasks
  • Order office supplies, manage inventory, and assist management with special projects as needed
What You Bring – Required
  • Minimum 2 years of administrative or office support experience
  • Hands-on experience with QuickBooks (Online or Desktop), including accounts payable and accounts receivable
  • Demonstrated experience with bank and credit card reconciliations
  • Proficiency with Microsoft Office (Excel, Word, Outlook)
  • Available to work full-time on-site, Monday through Friday, 8:00 AM to 4:00 PM
  • Authorized to work in the United States
What You Bring – Preferred
  • Bilingual English and Spanish
  • Prior experience supporting a construction, HVAC, logistics, or staffing industry office
  • Working knowledge of basic accounting principles
  • Experience supporting payroll processing or timesheet tracking
  • Familiarity with new-hire onboarding paperwork or general HR administrative support
