Job Overview
We are seeking an experienced dedicated and compassionate veterinary receptionist who can act as the crucial first point of contact, managing the front desk by greeting clients, answering multi-line phones, scheduling appointments, and processing payments. Ensure smooth hospital operations by managing patient records, triaging emergencies, and providing compassionate client communication regarding pet health.
Key Responsibilities
- Client Communication: Greeting clients warmly, answering phone calls/emails, and facilitating client flow.
- Scheduling & Triage: Booking appointments, managing surgical schedules, and differentiating routine cases from emergencies.
- Administrative Tasks: Maintaining medical records, entering client/pet data, and requesting previous records from other hospitals.
- Financial Duties: Preparing invoices, processing payments, and discussing financial estimates/plans.
- Client Education: Providing information on routine care, vaccines, and explaining prescription instructions.
- Facility Maintenance: Keeping the reception area, lobby and exam rooms clean.
Required Skills and Qualifications
- Customer Service: Strong interpersonal skills with the ability to show empathy during emotional situations.
- Computer Literacy: Proficiency in Windows-based systems and ability to learn veterinary practice management software.
- Organizational Skills: Ability to multitask and prioritize in a fast-paced environment.
- Communication: Clear, professional verbal and written English skills.
- Education: High school diploma or equivalent, with experience in a receptionist or client service role preferred.
