Duties
- Manage daily office operations, including front desk activities, multi-line phone systems, and calendar management to ensure seamless communication and scheduling.
- Oversee bookkeeping tasks to maintain accurate financial records, including invoicing, expense tracking, and budget monitoring.
- Maintain comprehensive filing systems—both physical and electronic—and ensure compliance with record-keeping policies.
- Asssist with scheduling appointments, client communications, client service requests and uphold excellent phone etiquette while addressing inquiries professionally via multi-line phone systems.
Qualifications
- Proven experience in office management or administrative roles within a professional environment.
- Supervisory experience with strong leadership skills.
- Excellent organizational skills with the ability to manage multiple priorities efficiently.
- Strong communication skills—both verbal and written—to facilitate clear interactions across teams and vendors.
- Familiarity with medical office management or specialized administrative environments is a plus.
- Knowledge of clerical procedures such as filing systems, front desk operations, calendar management, and multi-line phone systems.
- Ability to instruct staff effectively on office procedures and customer service standards.
