Primary Responsibilities:
As our Receptionist, you’ll be the first point of contact for all visitors and participants. Your key duties will include:
- Customer Service: Answering phone calls promptly, managing call volume, and directing inquiries to the appropriate team members.
- Front Desk Management: Monitoring activity at the center, ensuring no participant leaves unattended, and managing visitor logs for safety and security.
- Participant Support: Maintaining participant records, producing name tags with color-coded cognitive levels, and preparing materials for new participants entering the program.
- Organizational Support: Keeping participant and caregiver mailing lists updated, assisting with mail distribution, and supporting the transportation team when needed.
- Package Handling: Signing for and distributing incoming packages to the appropriate departments.
- Communication & Coordination: Mails communications, records messages accurately, and ensures proper follow-up as needed.
- Education: High school diploma or equivalent; 2 years in a clerical position or completion of a secretarial program.
- Experience: Minimum of 6 months in reception duties, with a strong organizational background.
- Skills: Strong communication (written and verbal), organizational skills, and proficiency with computer software and telecommunications.
- Customer Service: Demonstrated ability to provide outstanding customer service, manage multiple priorities, and handle stressful situations calmly.
- Experience with Elderly Population: At least one year of experience working with the elderly, frail, or long-term care populations is preferred.
- A fast-paced, dynamic, and supportive environment where you will interact with staff, participants, and their families regularly.
- Frequent interruptions and pressure from multiple calls or emergency situations are part of the role.
- Fully on-site position with potential overtime or call-ins during emergencies.
- Must be fully vaccinated or willing to become vaccinated against:
- Influenza, MMR, Varicella, Tdap/Td, COVID-19, and Hepatitis B
- Must meet CMS competency standards prior to working independently
- Must be willing to work beyond normal hours
- Comfortable working in varied home environments and all weather conditions
