What are the responsibilities and job description for the Admin Clerk position at SelecSource?
This is an overnight Admin Position
Qualifications
- Bilingual communication skills (English/Spanish) preferred
- Proficiency in invoice management systems, specifically Dynamics
- Workload management/ data entry and invoicing
- Comfortable working extended hours on a computer
- Customer Service, phone etiquette
Key Responsibilities
- Coordinate inbound/outbound dispatch notifications
- Distribute meeting notices and shift schedule updates
- Communicate pending items (shorts reports) and special instructions
- Manage inbound delivery appointments and vendor scheduling
- Maintain next-day delivery calendar accuracy
- Communicate dock assignments and wait times to drivers
- Verify bills of lading, invoices, and packing lists against received product as well as rejected product and returns
- Maintain cold-chain logs
- Enter and verify receivers in Dynamics (catch weights, expiration dates)
- Collaborate with Replenishment, Product Integrity, and Repack teams to resolve discrepancies and damages
- Document and submit damage reports with supporting evidence
- Organize workflow and coordinate communication across departments and third-party carriers
- Assist with routing, pick/load sheet printing, and driver/loading assignments
- Reconcile completed load sheets in Dynamics
- Enter weights, print invoices, and prepare driver documentation
- Investigate product shorts and verify catch weights and expiration dates
- Conduct spot checks to ensure accurate case and piece counts
