Overview
We are looking for a detail-driven and organized Purchasing Coordinator to support our operations, warehouse, and project teams. This role focuses on sourcing and purchasing installation materials, equipment, tools, and job-specific components for low-voltage/security integration projects. You will work closely with our Warehouse, Project Managers, Accounting, and Vendors to ensure materials arrive accurately, on time, and within budget.
This role is ideal for someone who enjoys fast-paced, deadline-driven work, communicating with vendors, and keeping multiple moving parts aligned.
Key Responsibilities
Purchasing & Procurement
- Create purchase orders for project materials, tools, equipment, and warehouse stock.
- Source products from approved vendors and distributors; obtain pricing and availability.
- Compare quotes and recommend cost-effective purchasing options.
- Track order confirmations, shipping updates, delivery dates, and backorders.
- Follow up with vendors on delays, substitutions, or order corrections.
Inventory & Warehouse Coordination
- Coordinate with the Warehouse team on incoming shipments, material shortages, and reorder needs.
- Update purchase order information for accurate receiving and inventory records.
- Support cycle counts, stock management, and replenishment tasks as needed.
Vendor Communication & Support
- Maintain positive relationships with suppliers and distributors.
- Request RMAs, exchanges, credits, and replacements when needed.
- Maintain vendor contact lists, pricing sheets, and product catalogs.
Job & Project Support
- Work with Project Managers to ensure materials align with project scopes.
- Confirm product specifications, part numbers, substitutions, and lead times as required.
- Assist with urgent or same-day orders when project needs change.
Administrative & System Tasks
- Maintain accurate records of orders, receipts, and pricing.
- Ensure purchasing documentation is complete for Accounting and job costing.
- Support process improvements for purchasing and material flow.
Skills & QualificationsRequired
- Strong attention to detail and accuracy.
- Ability to stay organized while handling multiple open orders at once.
- Clear and professional communication with vendors and internal teams.
- Basic understanding of purchasing, inventory, or supply chain concepts.
- Proficiency with standard business software (Outlook, Excel, shared drives).
- Ability to learn industry-specific products (cable, hardware, access control, camera systems, AV components, etc.).
Preferred
- Experience in construction, low-voltage, electrical, or similar industries.
- Familiarity with purchase orders, inventory systems, or order tracking.
- Ability to read part numbers, SKUs, or BOMs (Bill of Materials).
- Experience working with distributors such as ADI, Anixter, Graybar, etc.
What This Role Supports
This position is essential to keeping our field teams supplied, projects on schedule, and warehouse operations running smoothly. You’ll be a central point of coordination between vendors, PMs, Accounting, and the Warehouse — helping ensure materials are where they need to be, when they’re needed.
