RESPONSIBILITIES/DUTIES/FUNCTIONS/TASKS Provide technical and administrative support to a high volume of tenants, property management teams, and executive staff regarding maintenance-related issues.Answer departmental telephone lines and respond promptly to tenant inquiries.Create, track, and follow up on work orders to ensure timely completion; return tenant calls with assigned work order numbers for status tracking.Verify completion of repairs and formally close work orders.Prioritize and assign maintenance tasks to internal staff or external vendors based on urgency and operational needs.Coordinate work schedules with outside vendors and contractors; follow up with internal staff to ensure completed work meets company standards.Create and maintain an Outlook calendar for HQS inspections, court stipulations, violations, and building and apartment inspections.Perform routine follow-ups to ensure work orders are completed accurately and efficiently.Coordinate inspections of vacant apartments with Property Managers and Building Service Employees to assess repair status and turnover timelines.Assist the Director of Maintenance and maintenance staff with large-scale repair and renovation projects.Support the Director of Maintenance in identifying process improvement opportunities to increase operational efficiency and reduce costs.Assist in the supervision of Maintenance Department staff and Building Service Employees.General Maintenance Office SupportConduct daily roll calls to confirm employee schedules and attendance.Distribute company policies, procedures, and internal memos.Issue safety equipment to employees and uniforms to temporary staff.Collect company equipment and uniforms from terminated or retired employees.Provide general administrative support to the Maintenance Department.Create, compile, and distribute reports as requested.Demonstrate strong ability to prioritize, multitask, and meet deadlines in a fast-paced environment.
