This position follows a four-day, 40-hour workweek (4/10 schedule), with shifts from 10:00 AM to 8:00 PM.  One coordinator will be scheduled Wednesday through Saturday, and the other Sunday-Wednesday.  Hours may vary dependent on business needs and event schedule.

Position Summary

This position works a variable schedule, primarily evenings and weekends, based on event activity. The Event Coordinator (EC) position serves as the primary contact for smaller events and secondary contact to support Event Managers and Senior Event Managers on larger or more complex assignments. The EC coordinates operational requirements with internal departments, service partners, and clients, and exercises judgment within established guidelines during live events to resolve operational issues. ECs may plan and coordinate assigned events from turnover through event closeout, ensuring accurate event documentation, effective communication, and successful execution within the facility.

 

Essential Duties and Responsibilities include the following. Other duties may be assigned.

  • Support Event Managers and Senior Event Managers with complex, high-attendance, or high-revenue events as assigned.
  • Work evenings, weekends, and holidays as required by event schedule.
  • Manage small events from turnover through event closeout and support Event Managers and Senior Event Managers on larger or more complex assignments.
  • Serve as the primary contact for assigned events and coordinate event requirements with clients, service partners, contractors, and internal departments.
  • Maintain accurate event information in the event management system, including service orders, diagrams, schedules, and operational instructions.
  • Coordinate operational requirements including room setups, staffing, security, guest services, technical services, and contracted services.
  • Monitor assigned events onsite and direct staff, vendors, and service partners as needed to ensure event requirements are met and facility policies are followed.
  • Exercise judgment within established guidelines to resolve routine operational issues during assigned events.
  • Assist with implementation of crowd management, safety, and building compliance requirements.
  • Conduct site tours, planning meetings, and pre-event conferences as assigned.
  • Conduct pre-event and post-event inspections and document event conditions, damages, or additional service needs.
  • Participate in event financial closeout by verifying service orders, charges, and final invoice for assigned events.

While performing the duties of this job, the employee is regularly required to see, talk, hear, sit, stand, walk and reach with hands and arms. The employee must frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds.

 

Minimum Qualifications:

  • Associates degree in Hospitality, Event Management, Business, Communications, or related field required.
  • One (1) year of experience coordinating events, hospitality, or venue operations.
  • Ability to manage multiple assignments in a fast-paced event environment.
  • Ability to work evenings, weekends, and holidays.

 

Preferred Qualifications:

  • Experience with Momentus or similar Event Management software preferred

*Equivalent combination of education and experience may be considered.
