About the Role
The Conference Services Manager plays a critical role in the success of Seaport Hotel by serving as the primary liaison between clients and hotel operations for group and event business. This position is responsible for managing client relationships, ensuring adherence to contractual commitments, and delivering exceptional event execution.
The Conference Services Manager collaborates across departments to coordinate all aspects of group programs, negotiates changes to contracts in alignment with business objectives, and identifies opportunities to maximize revenue and profitability. This role requires a high level of organization, communication, and leadership to ensure client expectations are exceeded.
Responsibilities
- Partner with clients to develop event specifications, including guest rooms, meeting space, exhibit requirements, and related services; align event needs with hotel capabilities
- Negotiate contract modifications to balance client expectations with hotel profitability
- Prepare and customize event documentation, including menus, Banquet Event Orders (BEOs), resumes, and programs; communicate details clearly to operational teams
- Conduct site visits, property tours, and tasting events to showcase the hotel experience
- Lead cross-functional coordination across all hotel departments to ensure seamless execution and exceptional service delivery throughout each event
- Identify and develop “allied” business opportunities associated with group events; generate and manage contracts and billing processes for these accounts
- Review final billing for accuracy and ensure alignment with contractual agreements prior to client distribution
- Participate in regular sales and strategy meetings to support team goals and initiatives
- Proactively identify opportunities to drive additional revenue across all aspects of group business
- Champion and model Seaport Hotel’s mission, values, and service standards
- Perform additional duties and special projects as assigned
What You Bring
✔ 3 years of conference services, event planning, or hospitality experience
✔ Strong organizational, communication, and problem-solving skills
✔ Ability to manage multiple priorities in a fast-paced environment
✔ Knowledge of hotel operations and event management systems (Amadeus preferred)
✔ CMP certification is a plus
✔ Experience in a large, urban hotel setting (Boston preferred)
