What are the responsibilities and job description for the Accounts Payable Specialist and Administrative Assistant to the Director of Instruction position at School District of Lodi, WI?
The School District of Lodi is seeking an individual to fill a full-time position in the district office responsible for the timely and accurate processing of district payments, as well as providing administrative support to the Business Manager and the Director of Curriculum.
Job Duties include:
- Open mail and enter AP-related data daily; check requests, requisitions/POs, reimbursements
- Prepare checks and ACH payments and upload positive pay in a timely manner
- Contact appropriate individuals (employees, vendors, entities) to obtain information/resolve account/payment issues
- Update/maintain vendor data as needed (W9, 1099 tax status, account codes, vendor/banking information)
- Produce and submit state, federal, and internal reports; distribute/file 1099s, and prepare audit support
- Reconcile/post credit card transactions; issue/close cards, process payments
- Create and distribute invoices for various revenue streams
- Support annual curriculum purchasing
- Register staff for professional development sessions
- Support new substitute & educational assistant training
- Track DPI licenses and complete the annual WISEstaff report
Requirements
- High School diploma or equivalent degree
- Demonstrated knowledge of software programs: Google and Excel
- Strong written and oral communication skills
- Excellent attention to detail and accuracy
- Punctual with regular attendance
- Willingness to learn and be a productive member of a collaborative team
Qualifications
The successful candidate will have Business Office experience and computer skills (Email, Google Suite Products, Excel, and Accounting Software). Additional experience with Human Resources and Skyward Financial Software is preferred.
