Key Responsibilities
Reception Duties (25%)
- Greet visitors and callers warmly and professionally; route appropriately.
- Maintain a clean, welcoming lobby and assist with guest comfort.
- Answer multi-line phones, take accurate messages, and transfer calls.
- Receive, sort, and distribute incoming mail and packages; prepare outgoing mail.
- Assist senior Traffic Coordinators with data entry, formatting, daily log generation, and commercial monitoring.
- Cross-train in Wide Orbit to fill in during absences or high-volume periods.
- Assist Sales by generating reports and preparing make-goods or exception handling.
- Provide administrative assistance to the Executive Assistant and Controller, including copying, filing, typing, and interoffice correspondence.
- Maintain office supply inventory and place orders as needed.
- Coordinate maintenance of office equipment (copiers, postage meters, etc.).
- Assist with mailings for Accounting, Sales, and other departments.
- Research station and network websites to answer viewer inquiries.
- May be called upon to order and pick up food for meetings or events.
- Help with special projects and assist during station events or storm coverage (potential for longer hours) as needed.
Education & Experience:
- High school diploma or equivalent (required)
- Prior office or administrative experience (preferred)
- Experience with Wide Orbit traffic system is a plus.
- Receptionist experience and Microsoft Office proficiency (strongly preferred)
- Extreme attention to detail with strong organizational and typing skills (required)
- Excellent verbal communication and phone etiquette.
- Friendly and professional demeanor with strong customer service skills.
- Ability to multitask and prioritize in a fast-paced environment.
- Must maintain discretion with confidential information.
- Capable of working independently and handling unexpected situations calmly.
- Comfortable using email, internet search tools, and basic business software.
- May be required to work overtime, holidays, or extended hours during severe weather, special station coverage, or staff shortages.
- In extreme cases, must be willing to stay overnight during snow emergencies.
