Accounting Specialist (AR / AP / Grants)
Location: Syracuse, NY (Onsite – Downtown)
Job Type: Temporary with strong potential for hire
Schedule: Full-time, Monday–Friday
About the Opportunity
Our client, a well-established nonprofit organization supporting regional economic and community development initiatives, is seeking an Accounting Specialist to join their finance team. The ideal candidate will be comfortable working across accounts payable, accounts receivable, and grant-related financial processes in a fast-paced environment.
Key Responsibilities
Accounts Payable
- Process vendor invoices, ensuring proper coding, approvals, and documentation
- Perform 2-way and 3-way matching of invoices, POs, and receipts
- Prepare and support weekly payment runs (ACH, check, etc.)
- Maintain vendor records, W-9s, and onboarding documentation
- Resolve discrepancies and communicate with vendors
Accounts Receivable
- Assist with invoicing, cash application, and account reconciliation
- Support collections and follow up on outstanding balances
- Contribute to AR reporting and general ledger reconciliation
Grants & Financial Compliance
- Gather and compile documentation for grant reimbursement requests
- Track deadlines and ensure timely submission of funding requests
- Reconcile grant expenditures and maintain accurate reporting
- Maintain audit-ready financial records and ensure compliance
General Accounting & Finance Support
- Assist with month-end, quarter-end, and year-end close processes
- Prepare journal entries and account reconciliations
- Review general ledger activity for accuracy
- Support internal controls and financial reporting processes
- Assist with additional finance-related projects as needed
What We’re Looking For
- 2 years of experience in accounts payable, accounts receivable, or general accounting
- Experience handling high-volume transactional work with accuracy and speed
- Strong attention to detail and ability to manage multiple priorities
- Proficiency in Excel (formulas, lookups, pivot tables preferred)
- Experience with accounting systems (Sage, NetSuite, or similar preferred)
- Associate’s degree in Accounting, Finance, or related field (or equivalent experience)
Nice to Have:
- Nonprofit or fund accounting experience
- Experience working with grants or reimbursement-based funding
