Role Description:
This is a full-time role for a highly organized and proactive Sales Admin Support professional with a strong background in order management, customer service, global logistics, and other administrative tasks.
Ideal candidate is a self-directed problem-solver proactively collaborate across teams and anticipate the needs to drive operational readiness without waiting for directives.
The ideal candidate will also support our sales team by managing administrative tasks, ensuring a seamless customer experience, and coordinating logistics and compliance for international and domestic shipments.
Qualifications:
- Minimum 3 years working in an Order Entry / Customer Service role.
- Hands-on experience with ERP or CRM systems (such as NetSuite, Salesforce, Microsoft Dynamics)
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook)
- Basic understanding of global logistics (import/export, Incoterms)
- Excellent written and verbal communication skills
- Attention to detail and organizational skills.
- On-site work location (Santa Clara, CA)
- Exempt full-time, 40 hours per week
Key Responsibilities:
- Accurately enter and manage customer orders into ERP system, ensuring all data, including order documents, are current and accurate.
- Collaborate with sales team for customer order communication.
- Collaborate with planning and shipping departments to ensure timely order fulfillment.
- Verify order details for completeness, accuracy, and adherence to company policies.
- Communicate with customers for information, such as order confirmation, payment arrangements, logistics, shipping schedule, routing guides, vendor setup, questionnaires.
- Identify and resolve discrepancies or issues related order processing and fulfillment.
- Run routine system reports and convert to Excel.
- Provide support for sales-related ERP and CRM data maintenance tasks.
- Provide back-up support for other administrative tasks.
