Position Overview

The Logistics Specialist is the customer’s primary point of contact after the sale of a hot tub, sauna, pool, cold plunge, or Endless Pool. This role ensures every customer receives clear communication, accurate expectations, and a smooth, successful delivery and setup experience. They are responsible for coordinating all pre‑delivery and post‑delivery communication, placing and receiving product orders, tracking shipments, and ensuring all units arrive on time and in perfect condition. This position directly supports the Delivery Team, Sales Team, and Operations Manager to keep Sandollar’s workflow organized, efficient, and customer‑focused.

Key Responsibilities

Customer Communication & Delivery Coordination

• Contact customers immediately after purchase to introduce yourself and outline the delivery process
• Serve as the customer’s main point of contact from purchase through installation
• Confirm site readiness, access paths, electrical requirements, and delivery conditions
• Schedule deliveries for hot tubs, saunas, pools, cold plunges, and Endless Pools
• Send pre‑delivery instructions, reminders, and follow‑up messages
• Communicate any changes, delays, or special requirements
• Follow up after delivery to ensure satisfaction and address any concerns

Ordering, Receiving & Inventory Tracking

• Place orders for hot tubs, saunas, pools, cold plunges, Endless Pools, and related accessories
• Track order status, shipping timelines, and expected arrival dates
• Receive incoming units, verify accuracy, and document serial numbers
• Report discrepancies or damaged shipments immediately
• Maintain organized records of all orders, deliveries, and customer assignments
• Coordinate with Sales to ensure inventory aligns with upcoming installations

Internal Coordination

• Work closely with the Delivery Team to prepare accurate routing and equipment needs
• Communicate daily with Sales, Service, and Warehouse teams
• Update CRM and internal systems with customer notes, delivery details, and order status
• Prepare delivery packets, checklists, and documentation for each job
• Support warranty registration and product documentation

Process & Efficiency

• Maintain organized scheduling systems and delivery calendars
• Track delivery performance and identify opportunities for improvement
• Support continuous improvement of the logistics and delivery workflow

Qualifications

• Strong communication skills — clear, friendly, and professional
• Highly organized with excellent attention to detail
• Ability to manage multiple customers, orders, and schedules simultaneously
• Experience in logistics, customer service, scheduling, or inventory preferred
• Comfortable using CRM systems, scheduling tools, and email communication
• Positive attitude and commitment to exceptional customer experience

Physical & Work Requirements

• Ability to walk the showroom and warehouse to coordinate with teams
• No heavy lifting required, but must understand delivery processes and equipment
• Fast‑paced environment with shifting priorities
• Standard Monday- Friday schedule with need for flexibility during peak seasons and special events.
