Position Summary
The Human Resources & Volunteer Coordinator supports San José Clinic by providing hands-on HR operational support and volunteer coordination. This role is responsible for ensuring smooth employee onboarding, accurate HRIS data entry, benefits support, invoice processing, and employee engagement initiatives, while also managing the Clinic’s volunteer processes. The ideal candidate is detail-oriented, people-focused, and thrives in a mission-driven nonprofit environment.
Duties and Responsibilities
Human Resources Support
• Coordinate all aspects of new hire onboarding, including background checks, paperwork, orientations, and new employee setup.
• Enter and maintain employee information in Paylocity and ensure accuracy of records.
• Serve as the first point of contact for employee questions related to benefits, payroll, and HR policies.
• Assist with open enrollment and benefits changes, collaborating with brokers and carriers to resolve issues.
• Submit and audit HR and benefits-related invoices to ensure timely and accurate payment.
• Support HR compliance requirements, file audits, and reporting as needed.
• Manage employee recognition programs and other engagement activities.
• Assist with HR reporting, metrics, and analytics for leadership.
• Provide administrative support for HR projects, trainings, and compliance initiatives.
Volunteer Coordination
• Coordinate volunteer onboarding, orientation, and scheduling.
• Maintain volunteer records in the management system, tracking hours and contributions.
• Support credentialing for healthcare volunteers.
• Serve as the primary contact for volunteer questions, scheduling, and engagement.
• Organize volunteer appreciation activities and recognition events.
• Ensure volunteer policies and handbook remain current.
Employee Engagement & Culture
• Assist in planning employee events, recognition programs, and culture-building initiatives.
• Coordinate wellness, training, and development activities.
• Help with internal communications related to HR and volunteer programs.
Other Responsibilities
• Maintain confidentiality of employee, volunteer, and patient records at all times.
• Ensure compliance with HIPAA, OSHA, and all San José Clinic policies.
• Support special projects and perform other duties as assigned.
Requirements
Qualifications
• Bachelor’s degree in Human Resources, Business Administration, Nonprofit Management, or related field.
• 2 years of experience in HR support, nonprofit administration, or volunteer coordination.
• Experience with Paylocity or another HRIS strongly preferred.
• Strong organizational skills with the ability to manage multiple priorities.
• Excellent communication and interpersonal skills, with the ability to work effectively across diverse groups.
• Proficiency in Microsoft Office and ability to learn new systems quickly.
• Bilingual English/Spanish preferred.
