Dental Clinic Receptionist
Position Description:
The Dental Clinic Receptionist is the face of San Francisco Community Health Center’s (SFCHC) dental clinic services and ensures that patients feel welcomed, seen, and heard in our dental clinic and at SFCHC generally. The Dental Clinic Receptionist is responsible for managing dental patient appointments and coordinating with dental clinic staff to meet patient needs. This position works closely with SFCHC’s patient experience team members who staff the reception and eligibility areas at SFCHC’s headquarters in the Tenderloin. The Dental Clinic Receptionist position requires good communication, resiliency, and flexibility to thrive in a fast-paced patient care environment by multi-tasking and prioritizing the workday. The Dental Clinic Receptionist reports directly to the Dental Director.
Essential Duties:
- Greet patients and assess needs.
- Connect patients to dental clinic staff.
- Determine patient’s source of payment by verifying program eligibility in government insurance plan.
- Accept and process patient payments (cash/credit/check) in alignment with the Sliding Fee Schedule and the Master Charge Fee Schedule.
- Answer clinic phone calls and respond to voicemails at least every 30 minutes. Ensure phone coverage during lunch hours.
- Coordinate with clinic providers to meet patient needs, ensuring any and all urgent dental, medical, or behavioral health requests are followed-up within 30 minutes (by the appropriate clinic team member), during business hours.
- Enroll new patients into SFCHC dental clinic services, ensuring completion of new patient packets.
- Schedule clinic appointments and conduct appointment reminders.
- Conduct daily follow-up on patient no-shows and cancelations, documenting follow-up attempts in the Electronic Health Record (EHR).
- Listen to and resolve patient complaints and escalate issues to manager / supervisor appropriately.
- Break down the dental operatories (clean rooms after dental treatments and/or set them up for the next treatment) and sterilize dental instruments
- Seat patients in exam room after registration and ensure that patients complete and sign consent form prior to specific dental procedure.
Major Responsibilities:
- Maintain agency reception advertising and compliance-related signage.
- Perform general office duties such as picking up and sorting mail, stocking office supplies, making sure patient’s personal information in Referral Form is complete prior to giving it to the dentist.
- Conduct patient satisfaction surveys for quality improvement and coordinate with the manager / team to implement changes.
- Coordinate transportation for dental clinic patients.
- Perform timely and accurate data collection and data entry (including faxing and scanning documents into patient records).
- Maintain dental clinic reception area: organize literature, keep materials organized, maintain clean and sanitized space, notify Operations Manager of any custodial needs.
- Participate in trainings and monthly staff/ program meetings and agency events.
- Other duties and responsibilities as assigned.
Minimum Qualifications:
- At least 1 year of experience working with diverse populations – LGBTQ communities, refugees/immigrants, people experiencing homelessness, and multiply-diagnosed populations (those with substance use and/or mental health barriers).
- A High school diploma or equivalent work/life experience
- Highly organized.
- Skilled in the use of computers (Adobe Acrobat, medical/dental software documentation, MS Office—Word, Excel, and Outlook).
- Strong written and verbal communication skills in English.
- Strong attention to detail and demonstration of follow through and reliability.
- Ability to work with a multi-disciplinary team.
- Experience in customer service, office, and clerical work.
- Ability to maintain confidentiality and privacy of persons, documents, data, and communications.
- Fully vaccinated against COVID-19, complete with booster shot and ability to show vaccination record.
- Up-to-date with vaccinations, especially seasonal flu shot vaccine.
- Proof of TB clearance (issued within the past 12 months or less).

Preferred Qualifications:
- At least 6 months of experience working in a dental office and breaking down dental operatories.
- Experience working in a health center, hospital, or free clinic.
- Experience using electronic health record systems such as EPIC WISDOM
- Self-starter, self-motivated and able to work within a team
- Bilingual (Spanish, Tagalog, Mandarin, Cantonese preferred)
