Job Description:
Our client, a leading California-based education law firm and a valued partner we’ve successfully supported with past placements, is seeking a Legal Secretary for its Carlsbad office. This is a full time opportunity supporting multiple attorneys in a fast-paced litigation environment. This role is fully onsite to start, with a hybrid schedule (4 days in-office, 1 remote) upon permanent conversion.
Key Responsibilities:
- Manage file organization and legal document production
- Draft, proofread, and edit legal correspondence and filings
- Handle extensive e-filing in administrative, state, and federal courts
- Maintain and manage multiple attorney calendars, deadlines, and court dates
- Coordinate client communication and interact with courts and internal teams
- Utilize calendaring tools such as Juralaw and other court rule systems
- Prepare travel arrangements and expense reimbursements
- Build Tables of Authorities (TOA) and Tables of Contents (TOC)
- Ensure compliance with court rules and civil procedures
Qualifications:
- Minimum 3 years of experience as a Litigation Legal Secretary (supporting multiple attorneys)
- Strong knowledge of state and federal court filing procedures
- Experience with Microsoft Office Suite, Coyote timekeeping, and iManage (or similar DMS)
- Familiarity with court rules and civil procedures
- Strong organizational skills and ability to manage competing priorities
- Excellent written and verbal communication skills
- Associate’s or Bachelor’s degree preferred
