Job Title: Administrative Assistant (Contract)

Duration: 12-Month Contract
Pay Rate: $20β$22/hour (W2)
Overview
We are seeking an experienced Administrative Assistant to support a team of advisors and account managers in a fast-paced, professional environment. This role requires strong organizational skills, attention to detail, and the ability to manage multiple priorities while handling sensitive information with discretion.
Key Responsibilities
- Provide administrative support to advisors and team members, including backup support as needed
- Manage and coordinate complex calendars, meetings, and conference calls
- Schedule and organize internal and external meetings, resolving conflicts and handling logistics
- Coordinate travel arrangements and process expense reports
- Prepare and distribute correspondence, reports, and other documents
- Maintain confidentiality while handling sensitive client information
- Support client interactions by organizing materials, responding to requests, and following up as needed
- Assist with onboarding new hires and setting up new client accounts, including data entry
- Perform general administrative duties such as filing, scanning, document management, and mail handling
- Support team operations through ad-hoc tasks and process improvements
Required Qualifications
- 5 years of administrative support experience, preferably in a corporate or financial services environment
- Experience supporting senior leaders, executives, or advisors
- Strong organizational skills with the ability to manage multiple tasks and priorities
- High attention to detail and accuracy
- Excellent written and verbal communication skills
- Ability to handle confidential and sensitive information with discretion
- Proactive, self-starter with strong problem-solving skills
- Ability to work in a fast-paced, deadline-driven environment
Technical Skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Experience with expense reporting tools (e.g., Concur or similar platforms) preferred
