Position Summary
The primary role of the Administrative Assistant is to oversee: day-to-day operations for the corporate office, perform administrative tasks, provide support for corporate initiatives and to serve as the front line representative of the company.
ESSENTIAL RESPONSIBILITIES:
- Performs reception duties by greeting visitors, answering phones, receiving and distributing faxes, handles incoming and outgoing mail, making copies, and various clerical duties required of the position.
- Serves as administrative support for department managers.
- Assist office staff with miscellaneous requests as need, i.e. help with large mailings, stuffing envelopes, stamping as needed.
- Assisting with correspondence, record keeping, scheduling, meeting material preparation, and meeting set up.
- Ordering meals as needed for meetings and events.
- Maintains account and shipments with carriers (USPS, Fed Ex, UPS, etc.)
- Maintains inventory of office supplies, postage, and kitchen goods.
- Handles procuring of office supplies for all company locations.
- Assists Accounting and Human Resources with administrative tasks, on occasion as needed.
- Supports branding and social media as directed.
- Supports the company foundation and charitable efforts as directed.
- Supports company social activities as directed.
- Assists with data input into inventory systems for plant activity.
- Assists with reporting, dashboards and other internal communications.
- Other projects and responsibilities may be added at the company’s discretion.
QUALIFICATIONS:
Education:
- High School diploma or equivalent, required. Associates degree or related education, preferred.
- Notary Public license, preferred, or willing to obtain.
Experience:
- Minimum of one (1) year administrative, clerical, or related experience, required.
- Applicable use of various software packages such as MS Office Products, required.
