Administrative Assistant (Bilingual English / Spanish) – Property Management Office

Responsibilities

  • Answer and direct incoming phone calls in English and Spanish
  • Communicate with tenants and vendors regarding maintenance requests and scheduling
  • Assist with tenant inquiries and office correspondence
  • Schedule inspections, service calls, and appointments
  • Maintain organized digital and physical records
  • Assist with lease documentation and notices
  • Track maintenance requests and follow up with vendors
  • Provide general administrative support to the property management team

Qualifications

  • Fluent in both English and Spanish (required)
  • Prior administrative or office experience preferred
  • Strong communication and customer service skills
  • Highly organized with strong attention to detail
  • Proficiency with Microsoft Office (Word, Excel, Outlook)
  • Ability to manage multiple tasks and priorities
  • Professional phone and email communication skills

Preferred Experience

  • Experience in property management, real estate, or construction office environments
  • Familiarity with property management software such as AppFolio
  • Experience coordinating with vendors and scheduling maintenance work
