Position Summary

The Portfolio Accountant is responsible for maintaining the financial integrity of an assigned portfolio of multifamily properties by producing timely, accurate, and meaningful financial information.

Working in partnership with Operations, Property Managers, Regional Managers, vendors, lenders, clients, and fellow accounting team members, this position ensures that financial transactions are properly recorded, reconciled, and reported in accordance with Generally Accepted Accounting Principles (GAAP), company policies, management agreements, and applicable regulatory requirements.

Success in this position requires exceptional attention to detail, sound judgment, strong organizational skills, and a commitment to providing outstanding internal and external customer service while continuously seeking opportunities to improve processes and efficiencies.

Work Location & Schedule

This position is based at RPM Company's corporate office and is required to work on-site during normal business hours. Remote or hybrid work arrangements are not available for this position unless approved by management as a temporary business accommodation.

The standard work schedule is Monday through Friday, from 8:00 a.m. to 5:00 p.m., with additional hours as needed to meet business objectives and month-end reporting deadlines.

Compensation

RPM Company offers a competitive compensation and benefits package. Compensation will be determined based on relevant experience, qualifications, internal equity, and market conditions.

Essential Functions

The essential duties and responsibilities include, but are not limited to:

Portfolio Accounting

  • Prepare accurate monthly financial statements for assigned portfolio.
  • Maintain complete and accurate general ledger activity.
  • Reconcile cash, bank accounts, and subsidiary ledgers.
  • Analyze financial activity and investigate unusual variances.
  • Assist in preparation of annual operating budgets.
  • Prepare lender, ownership, and client reporting packages.
  • Ensure compliance with management agreements, loan requirements, and company policies.
  • Maintain complete accounting records and supporting documentation.
  • Assist with audit requests and financial reviews.
  • Monitor balance sheet accounts for accuracy.
  • Prepare journal entries with appropriate supporting documentation.
  • Research accounting issues and recommend appropriate resolutions.
  • Assist with month-end and year-end closing activities.

Accounts Payable Support

Depending upon departmental assignments, responsibilities may include:

  • Review vendor invoices for accuracy and completeness.
  • Process invoices through electronic workflow systems.
  • Import invoices between accounting software platforms.
  • Research invoice exceptions and resolve processing issues.
  • Prepare payment batches.
  • Audit accounts payable transactions.
  • Maintain vendor records, including W-9 information, insurance certificates, and payment information.
  • Respond professionally to vendor and property management inquiries.
  • Assist with annual 1099 reporting.
  • Support year-end audit activities.

Internal Controls & Compliance

  • Follow established accounting policies and internal controls.
  • Protect confidential financial and employee information.
  • Maintain compliance with GAAP and applicable federal, state, and local regulations.
  • Identify process improvement opportunities that enhance efficiency and reduce risk.
  • Ensure documentation supports all financial transactions.

Collaboration

  • Build productive working relationships with Property Managers, Regional Managers, clients, vendors, and team members.
  • Provide exceptional customer service to internal and external stakeholders.
  • Share knowledge and assist coworkers to ensure departmental success.
  • Cross-train within the Accounting Department to provide operational continuity.
  • Participate in special projects and process improvement initiatives.

Qualifications

Required

  • Associate degree in Accounting, Finance, Business Administration, or equivalent combination of education and experience.
  • Minimum of two years of accounting experience.
  • Strong understanding of accounting principles.
  • Intermediate Microsoft Excel skills.
  • Excellent written and verbal communication skills.
  • Strong organizational and time management abilities.
  • Ability to manage multiple priorities while meeting deadlines.

Preferred

  • Bachelor's degree in Accounting or Finance.
  • Property management accounting experience.
  • Experience with Sage (Timberline), RealPage OneSite, AvidXchange, or similar property management/accounting software.
  • Budget preparation experience.
  • Experience working with multiple legal entities or property portfolios.

This position requires access to confidential and proprietary financial, employee, resident, client, and company information. Employees are expected to protect such information and comply with all company confidentiality policies. A signed Confidentiality Agreement is required as a condition of employment.

Work Environment

This position is performed primarily in a professional office environment with standard office equipment. Occasional travel between office locations or properties may be required.
