In this role, you’ll collaborate with cross-functional teams to establish operational standards, track daily performance milestones, resolve workflow bottlenecks, and keep executive leadership informed. This position suits a decisive leader who can take full ownership of business systems, make practical decisions on the fly, and maintain a sharp view of both big-picture operational goals and the everyday details needed to achieve them.
Key Responsibilities
- Develop Operational Plans: Formulate department master schedules, workflow timelines, performance milestones, and delivery roadmaps.
- Coordinate Cross-Department Teams: Align operational activities across production, administration, logistics, and client-facing teams.
- Establish Clear Work Standards: Define team deliverables, individual responsibilities, and operational expectations across all projects.
- Monitor Performance Metrics: Track operational progress against tight deadlines, operating budgets, and key performance indicators (KPIs).
- Mitigate Risks & Friction: Identify potential operational risks, process dependencies, inventory gaps, and scheduling conflicts early.
- Solve Operational Challenges: Resolve workflow breakdowns quickly or coordinate appropriate strategic next steps with leadership.
- Lead Strategy Briefings: Conduct team alignment meetings and communicate operational updates clearly to key stakeholders.
- Maintain System Documentation: Keep operational manuals, status trackers, compliance records, and performance logs up-to-date.
- Resource & Capacity Planning: Coordinate facility resources, equipment needs, and support balanced workload allocation.
- Analyze & Optimize Workflows: Review operational performance, analyze workflow efficiency, and recommend continuous improvements.
- Manage Process Updates: Ensure operational policy changes and workflow iterations are documented and communicated seamlessly.
- End-to-End Operational Execution: Support business initiatives through early planning, resource allocation, live execution, and final review.
You'll need:
- Strong operational planning, process management, and organizational skills.
- Clear, authoritative, and engaging written and verbal communication abilities.
- Demonstrated ability to manage multiple deadlines, operational workflows, and competing priorities.
- Sharp problem-solving capabilities and sound business decision-making skills.
- Confidence tracking performance analytics, reviewing KPI reports, and spotting operational risks.
- Proven experience supervising teams, managing business tasks, or directing operational deliverables.
- High proficiency with spreadsheets (Excel/Google Sheets), presentation decks, and operational management tools.
- A professional, personable approach to stakeholder, vendor, and team communication.
- The ability to take independent initiative while fostering accountability across departments.
Previous experience in operations management, business administration, project coordination, logistics, or team leadership is important. Familiarity with operational software and structured process optimization methodologies is a distinct advantage!
