Duties
- Manage and coordinate complex calendars, scheduling meetings, appointments, and other arrangements for executives
- Handle correspondence via email, phone calls, and video conferencing software, maintaining professional etiquette at all times
- Prepare reports, presentations, and documents through proofreading, transcription, and data entry tasks using productivity software such as Microsoft Office and Google Workspace
- Assist with bookkeeping tasks using QuickBooks or similar accounting tools; track expenses and process invoices
- Facilitate internal communication across departments to ensure timely information flow and project coordination
- Support office management duties including filing, managing multi-line phone systems, maintaining office supplies, and handling confidential information securely
Requirements
- Proven experience as a Personal Assistant or Executive Assistant with strong organizational skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Outlook Calendar management, and video conferencing tools such as Zoom or Teams
- Experience with bookkeeping software like QuickBooks and familiarity with business travel arrangements
- Excellent typing speed combined with strong writing skills for proofreading and transcription tasks
- Ability to manage multiple priorities efficiently while demonstrating exceptional attention to detail
- Strong interpersonal skills including phone etiquette and collaboration with C-suite executives or senior management
- Demonstrated ability to handle confidential information discreetly and professionally
- Office experience with data entry, filing systems, clerical tasks, and customer service excellence
