Position Summary
The Medical Billing Software Specialist is responsible for the optimization, support, and ongoing configuration of the organization’s Electronic Health Record (EHR) and Practice Management (PM) systems. This role serves as a key liaison between clinical staff, administrative teams, and IT to ensure efficient workflows, data integrity, regulatory compliance, and high system usability.
Key Responsibilities
System Administration & Support
- Maintain and support EHR and PM systems, including user setup, security roles, templates, and configurations
- Troubleshoot system issues and coordinate resolution with vendors or internal IT teams
- Monitor system performance and recommend improvements
Implementation & Optimization
- Lead or support EHR/PM system configurations, upgrades, and integrations
- Analyze clinical and administrative workflows; recommend and implement system enhancements
- Configure templates, forms, order sets, and billing workflows to improve efficiency
Training & User Support
- Train clinical and administrative staff on EHR/PM functionality and best practices
- Develop user guides, training materials, and documentation
- Provide ongoing support and serve as a subject matter expert (SME)
Data Management & Reporting
- Ensure data accuracy, integrity, and proper system usage
- Generate reports for clinical, operational, and financial analysis
- Support quality reporting programs (e.g., MIPS, HEDIS, etc.)
Compliance & Security
- Ensure systems meet regulatory requirements (HIPAA, CMS guidelines, etc.)
- Assist with audits, data security protocols, and access controls
- Maintain confidentiality and data protection standards
Vendor & Stakeholder Coordination
- Act as primary point of contact for EHR/PM vendors
- Collaborate with leadership, providers, billing teams, and IT staff
- Manage tickets, upgrades, and system changes with vendors
Qualifications
Education & Experience
- Bachelor’s degree in Healthcare Administration, Information Systems, or related field (or equivalent experience)
- 2–5 years of experience with EHR/PM systems (e.g., Epic, Cerner, Athenahealth, eClinicalWorks, etc.)
- Experience in a healthcare setting (clinic, hospital, or medical group) preferred
Skills & Competencies
- Strong understanding of clinical and revenue cycle workflows
- Proficiency in EHR/PM configuration and troubleshooting
- Analytical and problem-solving skills
- Excellent communication and training abilities
- Knowledge of healthcare regulations and compliance standards
Preferred Qualifications
- EHR certification(s) (vendor-specific or general health IT certifications)
- Experience with system integrations (HL7, APIs, interfaces)
- SQL/report writing or data analytics experience
- Project management experience
