Job Summary
The Healthcare Order Entry Specialist supports the accurate and timely processing of orders related to orthopedic, cardiac, and durable medical equipment DME services. This role is ideal for an individual starting a career in healthcare administration who is detail oriented, organized, and eager to learn healthcare systems, documentation requirements, and payer guidelines.
Key Responsibilities
Accurately sort and enter physician orders for orthopedic, cardiac, and DME services into designated healthcare systems.
Review orders to ensure completeness, including patient demographics, physician documentation, diagnosis codes, and service details.
Verify required documentation such as prescriptions, clinical notes, and referrals prior to order processing.
Assist with updating, correcting, or escalating orders based on provider or internal requests.
Communicate with internal teams, including clinical staff, billing, intake, inside sales, pre authorization, and scheduling, to resolve order issues.
Respond to basic inquiries regarding order status and documentation requirements.
Maintain accurate and organized electronic patient and order records in compliance with company policies.
Follow HIPAA guidelines and maintain patient confidentiality at all times.
Support department workflows with general administrative tasks as assigned.
Cross Functional Collaboration
Serve as the intake liaison for:
Orthopedic clinics and post operative teams.
DME vendors, fulfillment teams, and authorization units.
Cardiology departments, rehabilitation programs, and hospital partners.
Partner with billing and authorizations to reduce denial rates and improve documentation quality.
Escalate urgent issues, incomplete orders, or impending timely filing deadlines.
Required Qualifications
High school diploma or equivalent.
Prior healthcare or administrative experience is helpful but not required.
Basic computer skills and familiarity with Microsoft Office, including Word, Excel, and Outlook.
Ability to learn healthcare systems, terminology, and documentation requirements.
Strong attention to detail and accuracy.
