RollShield LLC, is seeking a highly organized, reliable, and proactive Administrative Office Manager to support our daily operations and keep our office running smoothly. We need someone sharp, dependable, and able to think ahead — a true problem-solver who takes initiative and keeps everything flowing.

Key Responsibilities:

  • Oversee daily office operations and ensure a smooth, efficient workflow
  • Answer phones and provide excellent customer service to homeowners, contractors, and vendors
  • Schedule installations, service calls, inspections, and permit-related appointments
  • Manage incoming/outgoing emails, customer updates, and follow-ups
  • Support permitting processes (submitting documents, tracking statuses, communicating with municipalities)
  • Organize and maintain digital and physical files, job folders, and project documentation
  • Coordinate with production, installers, sales reps, and warehouse teams to ensure clear communication
  • Maintain office supplies, inventory lists, and vendor relationships
  • Assist leadership (Greg, Alonzo, Sales, Manufacturing) with administrative tasks
  • Provide general support to customers visiting the office
  • Troubleshoot small issues independently and keep the office environment running efficiently

Required Skills & Qualifications:

  • Strong organizational skills with the ability to multitask and prioritize
  • Excellent communication skills professional, polite, and clear
  • Able to think independently and solve issues without constant direction
  • Experience in construction, permitting, home improvement, or manufacturing environment preferred
  • Proficiency with email, scheduling systems, and basic computer tasks
  • Strong attention to detail and ability to follow processes
  • Reliable, punctual, and a team player
  • Positive attitude and ability to remain calm under pressure

Preferred Experience:

  • Prior office manager, administrative assistant, or office coordinator experience
  • Experience handling customer calls, job scheduling, or contractor coordination
  • Familiarity with Florida permitting processes is a plus
