What are the responsibilities and job description for the Clinical Manager for VIP Regenerative Medicine Office position at Rofé Medical?
Boca Raton, FL
Full-time | On-site | High-touch clinical operations
This is the operational backbone of the #1 PCP / VIP regenerative medicine practice in Boca Raton — and not a “float MA who also orders gloves.” We are BOOMING.
You will run the clinical floor managing 100 patients/day, manage a team of 15 MAs, 4 practitioners (soon to be 6) , own inventory and vendors, keep the schedule tight, and still be the person we trust with the hardest sticks. Many of our patients are high-profile. The standard is precision, calm, and trust.
If you are an ELITE Clinical Manager who could do the Practice Administrator's job too, this is the role.
The Role
You have all the answers and everyone looks to you. You create organization out of chaos. You walk into a room like a ray of sunshine and the day's troubles bow before your feet. You are a relentless freight train of positivity that never tires. You are THE Clinical Manager at the hottest regenerative medicine and anti-aging clinic in Boca Raton: Rofé Medical & LAVI Med Spa. You will keep the practice moving like a precise bullet train — clinically and operationally exceptional — while delivering a patient experience that regularly elicits the words we all long to hear: ‘You changed my life."
The staff worships you. The patients all ask for you. They suspect...although they do not know for sure...that you might actually walk on water. Wielding this sphere of influence you will:
- Lead, schedule, train, and manage a clinical/operations staff of 15 or more
- Own day-to-day practice management: flow, rooms, readiness, follow-through, and accountability
- Manage inventory end to end — par levels, expiration control, receiving, waste reduction, and cost discipline
- Own vendor relationships: ordering, negotiating, delivery issues, product substitutions, and service reliability
- Build and protect the clinical schedule so providers stay productive and VIP patients are never left waiting
- Operate at a high level in the EHR: documentation quality, templates, charge capture support, and clean charts
- Apply ICD-10 coding knowledge for family medicine and related cash-pay / hybrid services so encounters are coded correctly
- Perform and oversee phlebotomy at an expert level — difficult draws, high volume, calm bedside manner
- Support medical weight loss (including GLP-1 programs) and anti-aging / regenerative workflows: labs, injections, procedure prep, recovery, and patient instructions
- Uphold confidentiality at a VIP standard with patients and staff
- Partner with the Medical Director and ownership so clinical protocols actually happen on the floor
Who We’re Looking For
This is a mission critical leadership role that still requires clinical hands. You should already have managed a team of 10 , inventory, and a schedule — and still be one of the strongest phlebotomists in the building.
Required
- Proven experience as a Clinical Manager (and Practice Administrator?)
- Direct management of a staff of 15 or more
- Strong inventory management experience
- Vendor management experience (ordering, accounts, problem-solving)
- Practice management and staff scheduling experience
- Proficiency in EHR systems
- Working knowledge of ICD-10 codes used in family medicine
- Super-strong phlebotomy skills
- Knowledge of medical weight loss and anti-aging / regenerative medicine
- Discretion, composure, and excellent people skills with a high-profile patient base
- Ability to hold staff accountable without creating chaos
Strongly Preferred
- CMA, RMA, or equivalent certification
- Could act as backup for Practice Administrator: insurance verification, billing, HR, payroll, compliance
- Experience in cash-pay, concierge, regenerative, wellness, or aesthetic medicine
- Familiarity with GLP weight-loss programs, lab panels, injectables, and regenerative procedure flow (stem cell / exosome support)
- Prior experience in a Boca / South Florida high-touch practice
- Bilingual (English/Spanish) is a plus, not required
What This Is — and What It Is Not
This is for the operator who can run the floor, manage the practice and still draw a hard stick at 9:00 a.m. without drama.
This is not:
- An mid-level medical assistant who wants to be a lead
- A title-only “supervisor” job with no inventory, vendors, or staff authority
- A hospital float position
- A med spa greeter role dressed up as management
Location
Boca Raton, Florida — off N Federal Hwy & Spanish River. On-site presence required.
Compensation
Competitive compensation commensurate with leadership experience and clinical skill. Details discussed with qualified candidates.
To Apply
Submit your resume and a short note covering: staff size managed, inventory/vendor experience, EHR used, and phlebotomy volume/comfort. Candidates who have already run a busy clinical team, urgent care and/or concierge will be prioritized.
